Data retention
We keep operational records for as long as they are useful and no longer. Cleanup runs automatically on a schedule inside your own environment, so old data is removed as a matter of course rather than whenever someone remembers to do it.
Default retention windows
Each kind of record has its own window, set by how long it stays genuinely useful for troubleshooting:
| What | Kept for |
|---|---|
| Integration run history | 90 days |
| Webhook events received from your systems | 60 days |
| Audit trail entries | 180 days |
| Account, workspace, and subscription records | The life of the account |
Cleanup is automatic and scheduled
A cleanup job runs once a day inside your environment, at 03:00, and removes everything past its window in a single pass. It is part of the running system rather than an operational chore, which means retention actually happens instead of quietly drifting.
Unresolved errors are never swept away
A run that still owns an unresolved failed record is deliberately kept past its window. Retention must never delete the evidence you need in order to fix something, so the errors screen stays actionable no matter how long a problem has been sitting there. Once the record is resolved or replayed, the run becomes eligible for cleanup like any other.
Windows are configurable
The figures above are the defaults. If your own compliance regime requires a longer audit window, or you would rather hold less data than we keep by default, the windows can be set for your environment.
Deleting a workspace
You can ask us to delete your workspace and its data at any time. We remove the workspace and its dedicated environment, including its database, within a reasonable period of the request or of account closure, except for records we are required to retain to meet legal and accounting obligations.
What retention does not reach
Records we have written into your own connected systems stay in those systems. If a flow posted an invoice into your ERP, that invoice is yours, in your ERP, governed by your own retention policy. Deleting your ml-connector workspace does not reach back into the systems you connected, and it was never meant to.
Common questions
- How long do you keep my integration run history?
- 90 days by default. Runs that still have an unresolved error attached are kept longer, until that error is resolved.
- How long is the audit trail kept?
- 180 days by default, the longest of our standard windows, because it is the record you are most likely to need after the fact.
- Can I keep data for longer than your defaults?
- Yes. The windows are configurable per environment, so a longer audit retention requirement can be accommodated.
- What happens to my data if I cancel?
- We remove the workspace and its dedicated environment, including its database, subject to records we must keep for legal and accounting reasons.
- Does deleting my workspace delete records from my ERP?
- No. Records already written into your own systems belong to those systems and follow your retention policy, not ours.
